HR chatbot for recruiting and employee questions
An AI assistant that answers applicant questions on your careers site and employee questions about your published HR pages, drawing on your own pages and showing source links. Screening and evaluating applications stays with your team.
An HR chatbot is an AI assistant that answers recurring questions about applying for a job and about HR topics in a chat. With Kyros, it answers from the pages you list, such as your careers site, job ads or published HR policies, and from golden answers you write yourself. Answers that draw on your pages show numbered source links (“Further Links”) underneath. When your content has no answer, the assistant is instructed to say so.
Recruiting and HR: two ways to use it
As a recruiting chatbot on your careers site, it handles the questions applicants ask again and again: how the application process works, which documents you expect, who the contact person is, which locations are hiring, what your remote work policy says and which benefits you offer. It repeats what your pages say and is instructed to reply in the applicant’s language; the widget is available in 9 languages, plus Easy language (Leichte Sprache).
Internally, the same setup works as a chatbot for your HR department: employees ask about vacation policy, travel expenses or how onboarding works, and the assistant answers from the HR pages you add. Only content Kyros can fetch from a URL can be added; you can’t upload files such as PDF or Word handbooks. Anything that isn’t on a page can go in as a golden answer.
What an HR chatbot does not replace
The assistant does not accept resumes or any other files, and it is not an applicant tracking system. It does not screen, evaluate or sort applications, does not rank candidates and makes no pre-selection; those decisions stay with your team. Candidates who want to register interest in a role or request a callback can use a Card (beta) in the chat: a short form whose submissions are stored in Kyros. There is no handoff to staff inside the chat.
HR conversations quickly involve personal data. Content moderation is on for every new assistant and checks incoming messages before the model sees them; messages it withholds do not reach the model. Whether personal data is withheld depends on the selected categories and the assistant’s purpose. Kyros is hosted in Germany (API and database in Frankfurt); the message itself is processed by the provider of the AI model you choose, not always in Germany. Agree on form fields and how you use the assistant with your data protection officer.
A recruiting chatbot for your careers site
The questions applicants keep asking, answered from your careers and job pages.
Explain the application process
Which steps there are, how long they take and who to contact: the assistant repeats what your careers site says and links the source.
Documents and paperwork
Which documents you expect and how to submit them, answered from your job pages. Files can’t be uploaded in the chat.
Locations and remote work
Where you’re hiring and what applies to remote work, as your pages describe it. If your pages say nothing on it, the assistant is instructed to say so.
Benefits from your pages
Allowances, training or flexible hours: the assistant names the benefits you list on your pages and links to the page.
In several languages
The widget comes in 9 languages, including English, Ukrainian, Arabic, Turkish and Polish, plus Easy language (Leichte Sprache). The assistant is instructed to reply in the selected language or the one the visitor writes in.
Interest and callbacks via Card (beta)
A short form in the chat with name, email, position as a dropdown and message. You see the submissions in Kyros and can export them as CSV.
A chatbot for your HR department: employee questions
For employees who want to look up a policy without emailing HR.
- Vacation, travel expenses, working hours: answers from the published HR pages you add, with a link to the source.
- Onboarding new hires: the first day, contact people and processes, as your onboarding pages describe them.
- Only content Kyros can fetch from a URL can be added, so no PDF, Word or Excel files. Fill gaps with golden answers.
- Pages can be re-fetched every 6, 12 or 24 hours or weekly, so policy changes come through.
- Chatlogs show what people ask; with “Revise” you save a corrected answer as a golden answer.
- Workspaces keep the HR assistant separate from other teams; roles control who can edit it.
Example: a Card (beta) for interest in a role or a callback
An illustrative form. You decide the fields, options and wording, and design the Card with the Card Builder.
| Field | Field type | Purpose |
|---|---|---|
| Name | Text | So your team knows who to contact. |
| For your reply. | ||
| Position | Select | Your open roles as a fixed list, so each request maps to a role. |
| Message | Textarea | For example, a preferred time for the callback or a short question. |
Kyros does not hand chats over to staff. The Card records the request, and your team follows up. If you like, the Card can also call your own API.

HR chatbot FAQ
What can an HR chatbot answer on a careers site?
Questions whose answers are on the pages you list: how the application process works, which documents you expect, who the contact person is, locations, remote work policy and benefits. Answers that draw on your pages show numbered source links. If the information is missing, the assistant is instructed to say so. For anything that isn’t on a page, such as a common edge case, you can write a golden answer.
Does the recruiting chatbot screen or select applicants?
No. The assistant does not screen, evaluate or sort applications, does not rank candidates and makes no pre-selection. It answers questions from your pages. Anyone interested in a role can leave their name, email, preferred position and a message through a Card (beta); the details are stored as a submission in Kyros. What happens next is up to your team.
Can applicants submit a resume through the chat?
No. Kyros has no file upload, neither in the chat nor in Card forms, so it does not replace an applicant tracking system. Point candidates to your application form or applicant portal for the application itself: the assistant can share the link if it is on your pages, and a Card can open it as a button. The chat covers the questions people have before they apply.
How do I use a chatbot for HR questions internally?
Add the URLs of your published HR pages, for example on vacation policy, travel expenses or onboarding, and embed the chat widget where your employees will find it, such as your intranet. Only content Kyros can fetch from a URL can be added; you can’t upload PDF or Word files. To pick up policy changes, Kyros can re-fetch pages every 6, 12 or 24 hours or weekly.
Can a chatbot help with employee onboarding?
With the questions that come up again and again in the first weeks: the first day, contact people, access requests, expense reports, as long as your onboarding pages cover them. The assistant answers questions and links the source; it does not track tasks or a new hire’s progress. In Chatlogs you see what people ask, and with “Revise” you save an improved answer as a golden answer.
What happens to personal data in an HR chatbot?
Content moderation is on for every new assistant and checks incoming chat messages before the model sees them; messages it withholds do not reach the model. Whether personal data is withheld depends on the selected categories and the assistant’s purpose. Card form entries are stored as a submission per Card and can be exported as CSV. Kyros is hosted in Germany and a DPA is available; the message is processed by the provider of the AI model you choose, not always in Germany. Keep forms short and review them with your data protection officer.
How much does an HR chatbot with Kyros cost?
The Starter plan is €0, permanently, with no credit card; it includes one assistant with a chat widget and monthly credits. Every message uses credits, and each model shows its credits per message before you choose it. A Starter workspace includes one assistant. Two assistants in the same workspace need Pro or Business (on request); alternatively, create a second workspace – Starter allows up to three.
