A hotel chatbot that answers from your own pages
Check-in, parking, breakfast, pets: Kyros answers your guests’ questions from the pages of your hotel website, with source links, and the assistant is instructed to reply in the guest’s language. A Card (Beta) takes room and table requests; the booking still happens with you.
A hotel chatbot answers the questions guests ask again and again before and during their stay: When is check-in, and when is check-out? Where can I park? What time is breakfast, can the dog come, is the hotel accessible? With Kyros, the answers come from the pages of your own hotel website. Under every answer that draws on those pages, numbered links (“Further Links”) let the guest check the detail on your site.
You decide what the assistant answers from
You paste the addresses of the pages that should count, one per line: for example “Getting here”, “Rooms”, “Restaurant”, “Spa”, “FAQ” and your cancellation policy. Kyros reads exactly those pages; it doesn’t crawl your whole site and it doesn’t import PDF files. When breakfast hours or sauna days change, Kyros can re-sync the pages automatically every 6, 12 or 24 hours or weekly. For answers that have to be word-perfect, write a golden answer. If something isn’t on your pages, the assistant is instructed to say so instead of making something up.
In the guest’s language
The chat widget is available in nine languages, including English, French, Polish, Turkish and Arabic (right to left). The assistant is instructed to reply in the language the guest writes in, even if your pages are only in German. It is instructed to keep official names, such as a page called “Haustiere”, unchanged, with a translation in brackets. Every widget permanently notes that answers are AI-generated and may be inaccurate.
What the chatbot is not
Kyros is not a booking engine. The assistant can’t see free rooms or current rates unless they’re on your pages, and it doesn’t take payments. Data reaches your booking engine or property management system (PMS) only if a Card action calls that system’s API. Kyros isn’t a phone or voice assistant either, and there’s no handoff to the front desk inside the chat. What it can do: take a room or table request through a Card (Beta), which your team then confirms as usual. You add the widget to your site with a code snippet; there are install guides for WordPress, TYPO3 and others.
Guest questions a hotel chatbot answers
Before booking, before arrival and during the stay, answered from the pages you add.
Check-in and check-out
When the room is ready, when it has to be vacated, whether late check-out is possible: answered from your page, with a link.
Getting here and parking
Directions from the station, car park or garage, EV charging: exactly as your “Getting here” page describes it.
Breakfast and restaurant
Breakfast hours, half board, restaurant opening times and whether guests should reserve a table.
Pets
Whether dogs are allowed, in which rooms and on what terms, straight from your pets page.
Cancellation policy
Deadlines and terms from your published policy. Add the text as a golden answer and the assistant is instructed to repeat it word for word.
Spa and accessibility
Sauna and pool hours, accessible rooms, elevator, step-free access, as long as your pages describe them.
Example: the fictional Hotel Seeblick
Hotel Seeblick doesn’t exist. The example shows how a conversation with a room request can go.
The conversation
Guest, writing in French
Bonjour, nous arrivons vendredi soir en voiture avec notre chien. Y a-t-il un parking et les chiens sont-ils acceptés ?
Assistant, replying in French
Oui.

The “Room request” Card (Beta)
| Field | Field type | Example |
|---|---|---|
| Arrival and departure | Text | March 14–16 |
| Guests | Number | 2 |
| Room type | Select | Single, double, suite |
| Traveling with a dog | Checkbox | yes |
| Requests | Textarea | Lake view, late arrival |
| for the reception team’s reply |
When the guest submits it, Kyros stores the request with the Card; your team sees it under Forms and can export it as CSV. The Card switches to a second state: “Thank you, our reception team will reply by email.” If you like, a Card action can also call your own API, for example to pass the request to your booking engine or PMS. Without that connection it stays a request: no booking, no payment, no availability check.
Chatbots for restaurants and tourism
The same approach works for restaurants and tourist information offices. In brief:
Restaurants
Opening hours, rest days, lunch menu, vegetarian dishes, directions: answered from your menu and info pages, as long as they are web pages and not only PDFs.
Table reservation requests
A Card (Beta) collects date, time, party size, occasion and contact details. It is a request, not a confirmed booking, and it reaches a reservation system only if you connect that system’s API through a Card action.
Tourist information
Events, opening hours, hiking trails, getting there by bus and train: a tourism chatbot answers visitors from your pages and is instructed to reply in the language they write in.
Frequently asked questions
What can a hotel chatbot answer?
Anything on the pages you add: check-in and check-out, parking, directions, breakfast, pets, spa hours, accessibility and cancellation terms. Answers that draw on your pages show numbered source links. When information is missing, the assistant is instructed to say so rather than guess. That is an instruction to the model, not a guarantee, so review conversations in Chatlogs and correct answers with Revise.
Can the hotel chatbot book rooms or check availability?
No. Kyros is not a booking engine and has no built-in connection to your booking engine or property management system. The assistant only knows rates and free rooms if they are on your pages, and it doesn’t take payments. A Card (Beta) can collect a room request with dates, guests, preferences and email. If you want requests to go straight into your system, connect its API through a Card action, provided it offers one.
How does a restaurant chatbot handle table reservations?
The assistant is instructed to offer a Card (Beta) in the chat with fields for date, time, party size, occasion and contact details. There is no calendar picker; guests type the date and time as text. Kyros stores the request, which you can export as CSV, and a Card action can also send it to your own API. The table is confirmed only when your team says yes; the chatbot can’t see free tables.
Which languages does the chatbot reply to guests in?
The chat widget comes in nine languages: German, English, French, Polish, Turkish, Russian, Ukrainian, Arabic and Farsi, with the last two shown right to left. The assistant is instructed to reply in the language the guest picks in the widget or writes in, even if your pages are only in German. The AI model does the translating, which can be inaccurate, so the widget notes that answers are AI-generated.
What happens if the answer isn’t on our website?
The assistant is instructed to say so openly instead of making something up. You’ll find these conversations in Chatlogs. With Revise you save a corrected answer as a golden answer, or you add the information to your website; with auto re-sync turned on, Kyros picks it up at the next sync. For matters your team has to handle, a Card can collect a callback request.
What about data protection?
Kyros is hosted in Germany: its API and database run in Frankfurt. A data processing agreement (DPA, Art. 28 GDPR) is available, and according to the privacy policy, customer data is not used to train AI models. Every widget has a privacy panel (“Using our chatbot”). Note that the provider of the AI model you choose also processes each message, not always in Germany. You set how long conversations are kept for each assistant.
How much does a hotel chatbot cost?
The Starter plan is €0, permanently, with no credit card. It includes one assistant with a chat widget and monthly credits. Every message uses credits, and each model shows its credits per message before you choose it. For more usage, several properties or several teams, the Pro and Business plans are available, with prices on request.
